1. Terms of Booking
-
- If seven days have passed since the contracts are sent to the client without further communications or return of the signed contract, the dates will be reopened to new enquiries and we will no longer be able to guarantee our services to the initial enquirer.
-
The term of our Pet Sitting Contract may be extended if requested by the client and consequently accepted by the Sitter.
-
The onus shall be on the client to confirm their return and their availability to resume care of the property and pet(s) prior to, or on, the last day of this contract term; failing which, the Sitter may perform additional visits in the interest of the pet(s).
-
We will only require a bed to sleep at night and a towel. We always aim to bring our own food and essential products for use during the contract term.

Anything eaten or used in the case of an emergency will be replenished before the end of the contract term.

Any house chores such as bathroom and kitchen cleaning, laundry and bins will be completed before your return to the property.

During a homestay, the sitter may need to leave your home for other duties, such as shopping, work, returning home, socialising etc. The client will be asked to supply information regarding how long they consent to their pet being left on their own for.
-
However, Pawsome Kingdoms will never leave a pet on their own for a period longer than 4h during a house sit. Where necessary, we will cover each other to ensure this and you will be informed of all our movements.
2. Compensation Policy
-
A reservation fee is required to secure all bookings. This deposit must be paid with the return of all signed contracts and forms.

Payment for services provided by Pawsome Kingdoms can be made via one of the following options:
-
Full payment made prior to the start date.
-
10% Deposit upon booking followed by payment of the 90% outstanding balance prior to the start date.
-
30% Deposit upon booking followed by payment of the 70% outstanding balance prior to the start date.
-
50% Deposit upon booking followed by payment of the 50% outstanding balance prior to the start date.
-

Additional fees may apply for the unexpected purchase of necessary items for the care of the pet(s), including but not limited to pet food, litter, cleaning supplies, transportation, unexpected visits and emergency expenses for health care. The Sitter shall retain and submit receipts as proof of additional expenses.

Our rates are reviewed regularly and can be subjected to changes with minimal notice.

Festive days (Bank holidays, Christmas Day, Boxing Day, New Years Eve and New Years day) will be charged at a double rate.
3. Cancellation Policy
-
Either party may terminate our Pet Sitting Contract a minimum of fourteen days prior to the first scheduled day of the booking without incurring penalties or damages. If a deposit has been paid, this will be refunded to the preferred bank account.

Failure by the client to give the minimum notice period required for cancellation, or any cancellation during recognised holiday periods, will result in a 30% cancellation fee of the total amount due; unless such cancellation is caused by extreme weather, family bereavement or a medical emergency.

Should any pet become aggressive or dangerous, the sitter may:
-
Arrange with the pet’s Guardian to assume responsibility for the pet until the client's return.
-
Place the pet into a kennel or animal care facility at the client's expense, if the Guardian is unable or unwilling to assume responsibility for the pet.
-

The sitter reserves the right to cancel a booking, or to refuse a new booking if previous payments have not been completed according to the preferred payment option stated above in the ‘Compensation Policy’ section.
4. Emergency Policy
-
In the event of an emergency, the sitter shall contact the client using contact details supplied in the contract to confirm their choice of action.
Veterinary Release Form and transportation
-
As part of the contractual agreement, the client is required to provide a Veterinary Release Form in the event that any of the pets listed in the contract are ill, injured or come to harm.

This form authorises and acknowledges:
-
The attending veterinarian to treat any pets as listed under the care of the sitter.
-
The veterinary practice to access any pets medical records, if the sitter has to take any pets for a health check.
-
Pawsome Kingdoms insurance policy in regards to unvaccinated pets.
-
-
Pet Business Insurance will not cover your pet(s) illness if it could have been prevented with vaccination immunisation (i.e. parvovirus, distemper, kennel cough, leptospirosis, panleukopenia, cat flu, FIV/FeLV, etc)
-
As part of the contractual agreement, and in the event that the client cannot be reached timeously, the sitter is authorised to:
-
Transport the pet(s) to the listed veterinarian.
-
Request on-site treatment from a veterinarian.
-
Transport the pet(s) to an emergency clinic if the previous two options are not feasible.
-
-
If the client cannot be reached in case of an emergency, the sitter shall act on their behalf to authorise any treatment, excluding euthanasia.
5. Health and Safety
Aggression
-
All Pawsome Kingdoms' sitters have experience working with animals and understand their behaviours may change suddenly when in new and stressful situations, such as being around strangers.
-
However, should any pet become aggressive or dangerous, the sitter may:
-
Arrange with the pet’s Guardian to assume responsibility for the pet until the client's return.
-
Place the pet into a kennel or animal care facility at the client's expense, if the Guardian is unable or unwilling to assume responsibility for the pet.
-
Pet Information Sheet
-
All clients are required to fill in a Pet Information Sheet, as part of the contractual agreement.
-
This form ensures we have guidance to ensure the pet(s) feel comfortable whilst the client is away and gives us important information on pet behaviours, such as reactivity, dietary requirements and potential stressors.
Pet Equipment
-
All pet’s equipment to be in good state for us to use (harnesses, leashes, collars)
6. Security and Keys
-
The sitter warrants to keep safe and confidential all keys, remote control entry devices, access codes and personal information of the client.
-
All safe and confidential items are to be returned to the client at the end of the contract period or on demand.
-
Pet Business Insurance will not cover your pet in the case of an emergency if a third party has accessed the property whilst you (the client) are away during the contracted period.
7. Liability
-
The sitter will perform the duties required to the best of their ability in a responsible manner.
-
The sitter accepts no liability for any breach of security, loss or damage to the client's property, if any third party has accessed the property during the term of this contract agreement.
-
The sitter shall not be liable for any harm done to a pet who has known unsupervised access to the outdoors.
-
The client shall be liable for all damage caused by the pet to the client’s property.
-
The sitter is released from all liability related to transporting pet(s) to and from any veterinary clinic or kennel, the medical treatment of the pet(s) and the expense thereof.
7. Weather
-
In the case of extreme weather conditions (heat, snow, heavy rain), we will adjust the duration or timing of walks to ensure your pet's comfort and safety.
-
We will always monitor your pet closely during walks to prevent overexertion or discomfort in extreme weather conditions.
-
In the unlikely event that your sitter is unable to attend your booking, due to extreme weather conditions, we will do our utmost to arrange cover within the team (with written approval from the client) or give as much notice as possible before any cancellations (please refer to section “Cancellation Policy”).
8. Lead Policy

If agreed to by the client in the contract, the sitter may be given permission to walk the dog(s) off-lead.

The sitter agrees to only walk the dog(s) off-lead if confident in the dog’s recall abilities, if they are in a safe location (such as a secure field) and at appropriate times.
9. Data Protection & Privacy Policy
Data Protection
-
Personal data – anything used to identify clients, directly or indirectly – is collected, stored and used by Pawsome Kingdoms in a lawful and fair manner.
-
Personal data collected by Pawsome Kingdoms includes (but is not limited to) name, home address and mobile number.
-
In accordance with GDPR and the Data Protection Act 2018 (DPA), we will not keep your personal data on record for longer than necessary and will not disclose it to unauthorised third parties.
-
We commit to safely storing any processed personal information on record for a duration of three months. following the contractual end date; in order to facilitate any subsequent booking of your services in the future.
-
Any personal data not actively in use will be destroyed and/or deleted in accordance with the retention schedule.
-
Exceptions to the above retention schedule include our Birthday and Loyalty Schemes, whereby Pawsome Kingdoms requires client permission to retain minimal personal data on record for longer than three months.

We will require permission before posting photos and videos of your pet(s) on Pawsome Kingdoms social media platforms & website:

CCTV & Home Recording

Pawsome Kingdoms is happy to work with CCTV recording in place, as we understand the purpose and need for such systems.

In accordance with the Human Rights Act (1998) and Data Protection Act (2018), we require certain details of such systems, including camera location, activity type and length of data storage.
10. Insurance
Pawsome Kingdoms is protected by Pet Business Insurance, which covers pets and clients during the entirety of the bookings. This includes cover for the following:

Animal injuries, accidents, and expenses. Death or injury to any animal in our care, custody, or control where the injury results in the death of the animal within 21 days of leaving our care, custody or control.

Animal Illness. Veterinary fees for treatment of an animal that shows clinical signs of illness while in our care, custody, or control, or within 72 hours of leaving our care, custody, or control.
-
Death of an animal as a result of illness which first showed clinical signs while the animal was in your care, custody or control.
-
Public and Products Liability. Legal liability to pay damages for bodily injury to any person, damage to material property or obstruction, trespass, nuisance or interference with right of way, air, light or water.
Pet Business Insurance covers Pawsome Kingdoms in the territorial limits stated in the schedule, United Kingdom (Great Britain, Northern Ireland, the Channel Islands and the Isle of Man).
11. Qualifications and Training

All Pawsome Kingdoms sitters operate with the highest regard for animal welfare and each have professional backgrounds and education in animal care.

All Pawsome Kingdoms sitters have a Level 3 VTQ in Advanced Pet First Aid (including Canine CPR) and have been DBS checked.

Profiles for each sitter can be found on the Pawsome Kingdom website (www.pawsomekingdoms.co.uk/team-1) along with any qualifications or training documents, which can be made readily available on request by clients.
